Q: How do I install the trial program once I have downloaded it?

A: Double-click the file you downloaded from Windows Explorer then follow the on-screen instructions. Once Task Manager 2000 is installed, view the online Getting Started Tutorial (approx. 5 minutes).

Q: I'm having difficulty downloading the trial version on my dial-up internet connection. What can I do?

A: If you are experiencing difficulty downloading the trial version of Task Manager 2000:

  1. If you're not downloading from a close mirror site, do so; and/or

  2. Obtain a free download manager such as getright.com which will allow you to resume downloading after a connection is lost and also to pause/restart downloading; and/or

Q: How do I install Task Manager 2000 on a Network?

A: You can install the 30-day trial version on an unlimited number of networked computers. If you want to install the full (purchased) version on a network you need to have the correct license version.

Always install the program to a local (e.g. C:) drive, even when you intend to use it in a network environment. To share the same data with other users, look under the Task Manager 2000 Help Index for "Network". This help topic will tell you how to share data over a network.

Q: I get the message:

"The profile 'Task Manager 2000' that you specified on the command line doesn't exist in the Windows Registry."

- or -

"The current user account does not have permission to convert or enable this database."

A: Microsoft have confirmed the following issue:

In some cases the Microsoft Access runtime component [used by Task Manager 2000] won't install correctly on a computer that already has Access 2000 installed.

Solution

  1. Uninstall Task Manager 2000 (using control panel Add/Remove Programs)
  2. Close all Office applications
  3. Temporarily rename your C:\Program files\Office* folder to C:\Program files\Office2000
  4. Install Task Manager 2000
  5. Rename C:\Program files\Office2000 back to C:\Program files\Office (or what it previously was).

* i.e. or the folder where the file MSAccess.exe resides. If you are not sure which folder it is located in, use the Find Files utility from the Windows Start Menu to search for it.

If you have Microsoft Access 2000 installed before you have installed Task Manager 2000, then carry out steps 2 to 5 above.

Q: I get the message "The ActiveX component cannot be created."

A: Do this:

  1. Click Start, Run.

  2. Copy and paste the following into the run command line:

    RegSvr32 C:\progra~1\common~1\micros~1\dao\dao350.dll 
     

  3. Click OK.

Q: Can I keep the information I entered in the trial version when I install the full version?

A: Yes. All data is stored in the live data file named Data.Mde.

Before you install the full version, copy Data.Mde to a separate folder, e.g., "C:\Backups".

Once the full version is installed, copy Data.Mde back to the original folder location, e.g., "C:\Program Files\Task Manager 2000", overwriting the existing Data.Mde.

Q: Does the trial version have all of the features that the full version has?

A: Yes. The trial version is fully enabled with all of the features of the full version.

Q: My 30-day trial version has expired before the 30 days have elapsed, what can I do?

A: The Task Manager 2000 trial version has an anti-tamper copy protection mechanism that gets triggered if the trial version is re-installed on the same computer.

Solution

To keep using the trial version for another 30 days:

  1. Close Task Manager 2000.

  2. If any exist, delete any files with the extension .ldb (record-locking files) including wpsysdat.ldb in the folder you installed Task Manager 2000 to (normally "C:\Program Files\Task Manager 2000").

  3. If you installed Task Manager 2000 from the file tm2kt728.exe or tm2k.zip then:

    - Download
    this file (200 Kb, for version 1.00.728).

    Otherwise:

    - Download
    this file (200 Kb, for version 1.00.729) to the same folder as in 2) above overwriting the existing file there with this new one.

    Note: Netscape users, you may need to right-click on the links above and select 'Save-As', or simply click the link, depending on your browser version.

Q: Does Task Manager 2000 work on an Apple Macintosh®?

A: Although you can't run Task Manager 2000 natively on an Apple Macintosh computer, you can use a Windows 95/98/NT/2000 software emulator to run it on your Mac. See products from Connectix and others.

Q: I get the message "You can't add or change a record because a related record is required in tblTeamMembers"

A: Task Manager 2000 is attempting to automatically generate recurring jobs. However a team member that has been entered on a recurring job has recently been deleted. (This can happen if sample team members have been deleted while the sample recurring job has not been deleted.)

Solution

1) Enter the recurring jobs screen and click on each field that uses a team member. The drop-down box for each field will validate the team member by showing only the existing ones.

2) Delete the sample recurring job.

Q: How do I navigate the menu command panels?

A: When selecting a Task Manager 2000 function from the menu command panels;

  1. Use the ESC key to close a menu panel (e.g. get from the Reports menu panel back to the Main menu panel)
  2. Use the icons on the top menu bar to go to a particular menu panel
  3. Use the underlined letter to execute a particular command; or
  4. Use the keyboard arrow keys to select a particular menu item.

Q: How do I have a main project with many sub-projects?

A: One way is to use the Task Name field as the main project name and the Task Description field as the sub-project (or sub-task) name.

Example

  Task Name     Task Description

You can then create a Work Report having the Task Name field as a grouping level with totals showing. All sub-tasks for a main project will then be grouped together.

Q: Do I have to enter the year when I enter a date?

A: No, not unless you're entering a date which is in another year.

For example, if you enter "8-8" in a date field, Task Manager 2000 will automatically change the date entry to e.g. 08/08/1999 (while the system clock is at 1999) depending on your Windows control panel Short Date Setting.

Q: Can Task Manager 2000 Find and Replace text?

A: Yes. Use Ctrl+H to bring up the Find and Replace dialog. (Ctrl+F brings up the Find dialog.)

Q: Can I bring a task back once I have closed it?

A: Yes. Completed tasks can be viewed by clicking on the Show/Hide Completed Tasks button located on the right toolbar on the Edit/View Tasks screen.

To bring a completed task back to become a current task, simply erase the Date Completed.

Q: Can the default time budget method be retained across sessions?

A: Yes. The default time budget method (i.e. Time Units or Fee Basis) can be made to "stick" across sessions if it currently is not. (The behavior of Task Manager 2000 version 1.00.728 is for the default time budget method to revert back to Time Units.) Version 1.00.729 amends this.

Check your current version of Task Manager 2000 under Help, About. The version should read 1.00.729. If it is version 1.00.728, you can install an upgrade patch as follows* :

  1. Close Task Manager 2000.
  2. Download this patch (5830 KB) to a temporary folder, e.g. C:\Temp.
  3. In your Task Manager 2000 folder (usually C:\Program Files\Task Manager 2000) rename the file Task Manager.MDE to Task Manager_old_728.MDE.
  4. Copy the downloaded Task Manager.MDE to your Task Manager 2000 folder.
  5. Start Task Manager 2000. The version info under Help, About should read 1.00.729.

*Note

This patch can and should only be applied to full (purchased) versions (1.00.728 or less) of Task Manager 2000, not 30-day trial versions. If this patch is applied to a 30-day trial version, it will automatically expire it.

Q: Can I add my own fields and remove others?

A:

  • You can add up to 40 of your own custom fields:

    Select Setup User-Defined Fields from the second page of the Edit/View Existing Tasks screen.

  • You can remove all unwanted fields from Work Reports, including built in fields:

    STEP 1

    From the start up screen select Print Reports ... then select Print Work Reports.

    STEP 2

    Select the Work Report from which you wish to remove a built in field.

    STEP 3

    Click on More>> then click on Fields...

    STEP 4

    Highlight the row containing the field.

    STEP 5

    Either delete the row with the DEL key or by using the delete tool button (or Hide the field if it is required by a custom field you have created).

  • On the task entry screen, all but the Task Description and Allocated To fields can be left blank. Both of these fields can have default values assigned them.

Q: How can I have a 'pool' (e.g. 'backlog') of unassigned tasks which I can bring live when I want?

A: Two possible ways are:

  1. Keep the Date Allocated field blank until a task is assigned:

    Copy and amend relevant work reports to filter in or out Unallocated Tasks, i.e. by setting the field criteria for Date Allocated to:

    <> Null

    or

    = Null

    Change and save an unallocated report, prefixing the title with the word "Unallocated" or "Backlog".

    Once the task is started edit the task details filling in the date allocated field with the current date.

  2. Create a team member called "UAL - Unallocated". A typical work report would then look like:

    JB - Joe Bloggs
    ---------------

    When the unallocated task is ready to be allocated, simply edit the task, changing the Allocated To person from UAL - Unallocated, to the appropriate person.

Q: The message: "The report contains no data" is displayed for a work report even though the criteria is broad

Solution

The team member selector needs to be initialized (this will only need to be done once). Click on the Selected... button in the Using Parameters option group. Click on Select All.

Q: Can I have dated comments? For example can I have a report with task name, the most current comments and the date the comments were entered?

A: Yes. The following example illustrates how to do this.

STEP 1

From the start up screen select Print Reports ... then select Print Work Reports.

STEP 2

Create a new work report called Sample Comments:

  • Click on the New button

  • Type the words Sample Comments in the Name field

  • Press the ENTER key

STEP 3

Click on More>> then click on Fields...

STEP 4

Add the following three fields:

Task ID
Task/Job Name
øCustom 01

(Note the field "øCustom 01" can be selected from the drop-down box).

STEP 5

Insert the following data into the respective field properties:

STEP 6

You can also increase the Width property for the fields Task/Job Name and øCustom 01. Try 1500 and 3000 twips respectively.

STEP 7

Close the report. Go in to Add New Tasks and make a new task. For the Notes field, create a series of dated comments as below (remember to use SHIFT+F2 to zoom the Notes field). Always insert new notes at the beginning of the field.

21-JAN-2000   Found lost schedule. Able to continue. *

25-DEC-1999  Can't find schedule. On hold. *

11-NOV-1999  Decided to use schedule from Department A. *

STEP 8

Note the following keyboard shortcut keys that can be used in the Notes zoom window:

To zoom a field (e.g. Notes) SHIFT+F2
To insert the current date CTRL+SEMICOLON (;)
To insert the current time CTRL+COLON (:)
To insert a new line CTRL+ENTER

STEP 9

When run, the sample report will only display the latest notes.

Q: Can I have report date criteria for the current or previous work week, e.g. Monday to Sunday?

A: Yes.

Discussion

Certain built-in reports such as the Tasks with Deadline this Week report or the Tasks with Deadline next Week report display tasks using + or - 7 calendar days deadline criteria rather than a using a normal business week.

Solution

For normal working week criteria on a date field, the Weekday function can be used.

Example

Insert the following Operator and Criteria values in the field properties for a particular work report (Deadline Date field example used below):

For Tasks with Deadline this Week

Field Operator Criteria
Deadline Date > DateAdd("d",-Weekday(now(),2),now()) and [Deadline Date]<=DateAdd("d",-Weekday(now(),2)+7,now())

For Tasks with Deadline next Week
